Tasks

Steering committee holds meetings 3 times per year. More meetings, online, if required.
– Coordination of the project (overall/detailed planning, receiving/merging/distributing reports, resolving challenges, communication with the steering committee/course development groups/regional coordinator/overall manager/EU/LU, communication with sub-contracted person/company, etc.).
– Financial management of the project
– Distribution of funds.
– Conflict management.
-Auditing and reporting (finalizing the project).

Description

The steering committee meetings will take place together with scheduled preparedness, development or dissemination meeting events. Thus, no travel and stay cost or working day cost is applied for the meetings of the steering committee. This is a way to increase the cost effectiveness of the project. Additional needed/urgent meetings will take place through Skype or other agreed communication tools.
A project coordinator will spend 30% of his/her working time to coordinate the project. Besides that the coordinator dedicated his/her time to control quality of all processes and activities of the project.
An overall manager will spend 15% of his/her working time for financial operations and distribution of funds. This person will also be responsible for all organizational and  logistic matters.
A regional coordinator will spend 20% of his/her time for overall management, communication, reporting, and organizational arrangements in CA as well as controlling the quality of activities, works, reports, etc.
The project coordinator and the regional coordinator need to meet annually in order to summarize the activities of that year, prepare reports, and plan the activities for next year in detail. To do this, the regional coordinator has to visit LU for 2 weeks each year.
Final project meeting:
This meeting takes place in 14-17.09.2020 in LU, Sweden. The aim of the meeting is to write final report, conclude all activities, and discuss further communications.

Related assumptions and risks

– A project coordinator is needed for the coordination.
– A steering committee, chaired by project coordinator, guarantees the democracy in decision-making and project management.
– An overall manager is responsible for financial operations and distribution of funds according to the budget, also responsible for all organizational and logistic matters.
– In some cases, a regional coordinator from partner universities can perform overall management, communication, reporting, and organizational arrangements in CA more efficiently than a European person.
Risks:
– Conflicts during the project. In case, the project coordinator will negotiate and settle the conflict.
